When it comes to transitioning to a new home, having the right movers means placing your family’s belongings in the right hands. At times, however, finding the right one that will efficiently meet your needs and budget can be tricky.

And don’t use household-goods brokerage services that find a moving company for you―they are not regulated by the laws that movers must follow.

The first thing that you should do is put down your keyboard and step away from your computer. While there are some reputable moving companies that have web sites, nearly all of the victims that contact us found their moving company on the Internet. The Internet will come in handy later, but for now let’s start local.

Your next step is to pick up your phone book, or call your local real estate agents and find at least three moving companies that have offices in your area. Try to find moving companies that have been in business at least ten years, and do not hire a moving broker. Current consumer protection laws related to household goods brokers are insufficiently written, and enforced.

AMSA membership is voluntary. As long as a moving company checks out in all other ways, the fact that it is not a member shouldn’t rule it out.

Be sure to check the consumer-advocacy sites movingscam.com. Each of these has a blacklist of companies with a history of consumer complaints, as well as tips and general information about the moving industry.

Both types of estimates put a guaranteed cap on what you will pay for your move. While nonbinding estimates are legal (as long as they’re given free), as the U.S. Department of Transportation moving guide warns, “You should expect the final cost to be more than the estimate.” And while interstate movers are allowed to charge you for binding estimates, most will offer them free.

Estimates for interstate moves will be based on the weight of the items you’re moving and the distance of the move. For moves within the same state, rules about estimates vary: Some states (such as California) require that movers give a written and signed binding estimate; others (like Illinois) forbid them to. Either way, estimates for these movers are based on the amount of time the move will take.

Set up appointments for three moving companies to come to your house and do an in-home estimate in the order of your least favorite to your most favorite company. If they won’t come to your house to do an in-home estimate, move on and find another company. Find out up front if the company will be doing the move themselves, or if they will be sub-contracting the job to another company. If they won’t be moving you then you should move on to another company. You should also visit their office and make sure that the company is who they say they are. Check out their trucks and storage facility. Make sure that their trucks are permanently marked with the company’s name. Many rogue movers will show up on the day of the move with a magnetic sign attached to the door of a rental truck, so it’s good to know as much about them as you can ahead of time.

Make sure that the movers are authorized in the state.

The U.S. Department of Transportation Federal Motor Carrier Safety Administration issues a U.S. DOT number to licensed interstate movers. If you’re moving out of state, verify the moving company’s license through the FMCSA’s protectyourmove.gov site and request the company’s U.S. DOT number; you’ll need it if you have to file a claim against the company later. If you’re staying in state, check with your local consumer affairs agency. You can find a list of local agencies through the FMCSA’s contacts database.

Trade associations vet companies before giving them a membership or approved seal. Look for a moving company carrying the American Moving and Storage Association’s ProMover logo. You can also search for approved companies directly from the American Moving and Storage Association’s Moving.org site.

Ask for a business card or pull up the mover’s website and then look up the listed address online or through the phonebook. Make sure the moving company’s address is listed and registered under the company names. Be wary of any address listed under a residential name.

Keep an eye out for red flags during the estimate. For example, most reputable moving companies won’t ask for a cash deposit before you move. If the mover seems hungry to get the money upfront, it might not be a legit business. Also, during the estimate, note how professional or unprofessional the movers seem. If they show up late, seem unsure of their abilities, or can’t answer your questions, look for another company. And be wary of any movers who show up in a rented moving van. A professional company will own its own equipment.

Finally, if anyone other than the moving company that you hired shows up on moving day, fire them on the spot. This is worth repeating… never, ever sign blank paperwork, and know what you’re signing. Read the document, understand it and don’t worry about making the mover wait.

The estimate may be a combined document that, when signed by you and the moving-company representative, serves as your order for service and bill of lading, too. These, along with the inventory list created when your goods are loaded, are the basic documents any mover should provide you with. Make sure you see the words “written binding estimate” up top, as well as the mover’s signature with a date at the bottom. For an interstate move, the estimate should clearly describe the type and quantity of goods you’re shipping, the distance to your new home, when your things will be picked up and delivered, and any additional services (such as packing) and supplies the moving company is providing.

If you want to purchase additional insurance from your mover (above the standard 60 cents a pound that the mover’s insurance covers), make sure you understand the costs and details of that coverage. For an in-state move, for which you can’t get a binding estimate, you should still get a written estimate that sets out the hourly rates and any additional costs you may incur (for supplies, tolls, driving time to and from the mover’s facilities). If you’re not sure about anything in the estimate, call and ask. And have the company send you a revised written estimate if necessary―don’t just take someone’s word for anything.

On moving day, get a written copy of the mover’s inventory list, provide the movers with specific directions for getting to your new home, and make sure you have a number where you can reach the movers throughout the move.
